GRANT WRITING

  

  

Premiere Package:

  • Review grant and provide insight and information on the details required to submit the grant that can influence the agency’s preparedness to gather documents, collaborate with partners, government requirements (i.e. ERA Commons, SAM, cost match, partner affiliations). 
  • Submit the letter of intent
  • Participate in pre-bidders conference webinar 
  • Submit questions within required timeframe, review responses once posted
  • Monitor for any proposal addendums and update the agency on changes in application requirements
  • Set up proposal timeline 
  • Work with the agency to develop a winning proposal design
  • Assist with the budget and budget narrative which will quickly inform the program design
  • Conduct research and gather information to write a compelling needs statement
  • Identify early in the process, the agency documentation required for application submission so you have time to put together the grant package simultaneously while the narrative is being written
  • Have conversations with identified stakeholder in order to firmly understand the agency’s history, organization hierarchy, mission statement, future goals, and experience with the applications program development
  • Set up weekly calls (often only 15 mins) to discuss grant writing progress, gain clarification on program goals and current operations, monitor the agency’s progress in collecting required documentation etc. 
  • Develop a project work plan with SMART goals, objectives and timeline 
  • Create a written multi-model evaluation plan using quantitative and qualitative data elements 
  • Provide the agency with completed parts of the grant for review and integrate revisions as requested 
  • Provide a full draft of the narrative 5-7 days prior to deadline for review and revisions
  • Complete the narrative 2 days prior to submission 
  • Review attachments to ensure they are complete and match the narrative (must have the attachments one week prior to submission)
  • Assist the agency to upload the application 
  • Once awarded, assist in the first two months of launching the program to ensure all program components are taken into consideration and the Project Director fully understands the goals and objectives of the project. 

NOTE: A streamlined process for the development of a highly competitive grant application requires the agency to respond quickly to information and data requests, timely completion of the agency’s documentation, and a contact person knowledgeable with the agency’s experience and abilities to implement the proposed project as well as being available for weekly updates and response to questions. 


Foundation Proposals:  $5,000 (depends on submission requirements)

State Proposals: $8,000

Federal Proposals: $12,000

Program Evaluation

  • Review the proposal and initially written evaluation plan
  • Refine the initial proposal plan and send an updated evaluation plan to be discussed with key stakeholders and finalized
  • Set up an evaluation timeline and required information from the Project Director(s)
  • Meet with Program Directors and key personnel to review the project, determine project quantitative goals (number of participants served, number of activities delivered per quarter, numbers of referrals etc) identify any required project modifications, and associated evaluation plan modifications
  • Develop survey instruments or identify appropriate psychometrically validated scales 
  • Create survey monkey assessments for easy participant completion and syntax for automatic scoring 
  • Create spreadsheets for data entry of scores (baseline and follow up) 
  • Enter survey response data, if required  
  • Create dashboards with key program performance indicators and send weekly updates to PD and key project staff 
  • Work with PD to set up an Advisory Board and schedule of meetings
  • Attend bi-weekly continuous quality improvement meetings with key personnel to review project data and identify areas to be strengthened in order to meet or exceed project goals.
  • Develop ongoing satisfaction surveys (quarterly, bi-annually, post-training or other activities), analyze findings and send summary reports within 2 weeks of data collection to inform project implementation
  • Conduct focus groups with participants and stakeholders. Write up the focus group findings and send a summary to PD and stakeholders to inform the project implementation. 
  • Provide monitoring of project goals and send the PD and key staff action steps for each upcoming month to ensure all project goals are met.
  • Design the statistical analysis for all project data. 
  • Write an interim and final report containing quantitative data visualizations and qualitative data that tells a compelling story of project success, and/or challenges. 
  • Create an Executive Summary to succinctly describe the key project findings
  • Create a PowerPoint Presentation for project finding dissemination 
  • Develop a poster presentation to be delivered at professional and provider conferences to disseminate the project findings. 

Comprehensive Package: $15,000

  • Review the proposal and initially written evaluation plan

1. Research grant prospects and advise client on which ones to approach and how. 

2. Work with staff to interpret guidelines, and gather material and information necessary for a strong proposal. 

3. Write grant proposals as requested in time to meet deadlines, and prepare the proposal for submission. 

4. Attend meetings necessary to accomplish the required work. 

  

What you should know:

A streamlined process for the development of a highly competitive grant application requires:

  •  The agency to respond quickly to information and data requests.
  • Timely completion of the agency’s documentation, 
  • A contact person knowledgeable with the agency’s experience and abilities to implement the proposed project as well as being available for weekly updates and response to questions. 

Most government grants require agency registration on ERA Commons.SAM,. Registering with these agencies can take up to 6 weeks. It is important to be sure your agency is register before deciding to submit a grant. If your agency is registered, be sure to check emails for alerts that certain required documentation must be updated.  We can assist your agency in registering in preparation of upcoming grants. 


Federal Indirect rate: Government grants such as SAMHSA will accept a federally approved indirect rate within the budget. A Federally indirect rate will allow your agency to charge a high rate to cover indirect costs (administrative overhead) ensuring your agency has the foundation to operate the grant without a revenue drain. Obtaining a Federal indirect rate can take several months requiring numerous types of documentation.  We can assist your agency in putting together the package to apply for a federal indirect rate, which for many agencies lies between 25-45%. Remember, you don’t have to have a federal indirect rate! Without a federal indirect rate you can still enter an indirect rate between 10-15% of the personnel costs on the grant.
